Administrative Assistant

Green City Growers is looking for a highly organized and detail-oriented part-time Administrative Assistant to join our team. This is a great opportunity to assist our employees with diverse projects and provide general administrative support.

Responsibilities

  • Accounting: Assist with Accounts Payable to include reviewing, coding and processing invoices and allocating to correct cost centers. Collect, scan and code credit card receipts. Maintain vendor and customer accounts. Create reports to track expenses, payables, A/R, etc. Bank deposits.
  • Incoming Communication Management: Assist with incoming company e-mails and website form submissions and forward messages appropriately. Answer phone and voicemails and direct calls.
  • Vendor Management: Support relationships with outside vendors: information technology, internet/phone, insurance agents/providers.
  • Office & IT: Support information systems upkeep and liaison with external computer support. Procurement of office supplies. Receive, sort and distribute mail.
  • Additional Responsibilities: Filing, organization of workspaces, administrative tasks as needed.

Ideal Qualifications & Skills

  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook and PowerPoint).
  • Experience with accounting software (specifically, QuickBooks online and bill.com) preferred
  • Highly organized with excellent verbal and written communication skills.
  • Multitasking and time-management skills with the ability to prioritize tasks.
  • Positive attitude and willingness to work in a fast-paced environment efficiently and accurately.
  • High school degree required; Bachelor’s degree preferred.
  • Drivers’ license a plus

Work Schedule

  • Part-time, flexible work time to be coordinated
  • On-site, in office required
